Using a Conference Planner to Eliminate Interruptions


– Hey guys, Jessica Langenberg here with Leadership Resources for Accelerate, and today I thought we
would spend a few minutes talking about a really simple tool that when used consistently
can make a huge difference, not just to our own
productivity and efficiency, but also to the
productivity and efficiency to the people around us. So I’m gonna share a
really quick scenario, a trap that even I can fall
into in our own office, and I wanna see if you can relate to this. So I’ve got a coworker named Beth. She sits in the office
right next door to me, and she is just a wealth of knowledge. I rely on her for a lot of things, and she’s honestly a pretty
good friend, as well. And so if I’m not really
careful, here’s what can happen: When Beth comes in in the
morning and says, “Hello,” I can remember that
hey, there was something that I wanted to talk to Beth about, and next thing you know,
we’ve spent 15 minutes on an unplanned conversation. Later in the morning, I realize that there’s a question I need to ask her. Something that I need to
know or understand better. I go knock, knock, knock on
the door to Beth’s office, and again, 15 or 20 minutes
that we spend talking about whatever that issue was,
getting that question answered. Later, I have an idea, I
wanna share it with Beth. Another 15 minutes goes by. And before you know it,
without even realizing it, I’ve had five different
15 minute conversations that have resulted in more than an hour of lost productivity, not just
from me, but for Beth, too. And I’m just one person
in our office, right? Now my guess is that most
of you can related to this, either because you’re guilty,
too, of having a thought or wanting a question
answered, and automatically you’re picking up the phone or popping in to the office next door, or because there is a
person, or multiple people in your office that are
guilty of doing it to you. My guess is everybody can relate to it in some way, shape, or form. So the question really becomes what in the heck do we do about it? Now there is a tool, that’s
where something called the conference planner comes in. This is a tool that we often recommend that a lot of our clients experiment with and they have incredible success. So the idea behind the conference planner is really a very simple one. When you have something
that pops into your head, a question, an issue that
needs to be discussed, rather than just running
to the office next door or picking up the phone, you
ask yourself is it urgent? Is it urgent? More often than not the
answer is going to be no. And so rather than picking up
the phone, just write it down. And then, once you’ve got three
to five different questions or issues that need to be
discussed with one person, you schedule a 15 minute
meeting to discuss those things. So here is just an example of a conference planner of my own, right? So rather than having these six different 15 minute conversations every
time one of these things pops into my head, I’m
waiting until I have three to five different
issues, questions, things that need to be discussed, and
then I’m having one 15 minute meeting where we’re covering
those five different things. So much more efficient. A couple weeks ago we talked a little bit about those slight edge successes, those little things that
we do that when we do them consistently drive a
drastically bigger result? The conference planner is just
an awesome example of that because when we do it
consistently, we save so much of our own time, so much of
other’s people time, as well. So I’ll encourage you, next
time you have a thought, you have a question that
pops into your head, something you need to
talk to someone about, rather than picking up the
phone or heading next door, take a moment to ask
yourself if it’s urgent, and if it’s not, write
it down, save it up, and have one conversation
later in the day. You will be amazed by how much time you can save when you do it consistently. If you have any time
